Job Duties and Responsibilities: Complete travel arrangements for faculty; register faculty for conferences and training; complete requisitions for orders; organize the office and office materials; complete faculty meeting agenda and minutes; attend and assist with setup for community advisory board meetings; attend weekly director's meetings (Program/Field); upload syllabus to Jenzabar system each semester; prepare for Fall & Spring program entrance ceremony; maintain program calendars; maintain bulletin boards in classrooms and hallway; assist and support social work student organizations; prepare new student files, criminal history forms, assist the program and field with advising; scheduling student interviews for the program and field; manage the office and ensure that it is a warm, inviting environment; POC for the social work department; office hours are 8:00 to 5:00, Monday- Friday; there might be special events on the weekends and evenings; continuous communication with current and future students; assist with program activity report for VP; assist with Title III monthly report; provide clerical support; prepare, circulate, and track completed applicant files for faculty evaluation of each applicant. Inform students of any missing documentation in the application, maintain files; data entry into various admissions and current student databases, including advisors/advisees, and orientation forms. Track students on conditional admission and update the admission status as needed; frequently input and report data; organize, prepare material for, and participate in admissions activities such as information sessions, new student orientation, and other school events. This includes making room reservations and ordering refreshments as needed; coordinate Admissions committee meetings, participate, and take meeting minutes; record, format, and circulate Admission Committee meeting minutes; provide updates to the Admissions Committee regarding the status of student applications; provide information to students in person, and over the phone/email, regarding various general procedures and policies from when students are admitted through post-graduation. Provide information to students on the Adding or Dropping After Census/Term process, Retroactive Add process, Continuous Enrollment process, Probation Advising Form process, Registration process, Advancement to Candidacy forms, and the Graduation Check process. Refer student, as needed up the chain of command or out to departments that can assist them for any other circumstance; other job-related duties as assigned.
